Quotes that write themselves, a site finally wired to the rest

Three incompatible pricing models, quotes written by hand, a website disconnected from the operational tools. Automation started with a mapping exercise, not with a tool.

Quote request processing flow

01 · context

Where they started

A provider serving three very different segments: public bodies, companies, individuals. Each with its own pricing logic — hourly rates for one, per-person pricing with volume discounts for the others.

Those three logics couldn't be structured in the existing tools. Every quote was written by hand. The website talked to nothing, all three segments shared the same pages, and project management was scattered across several external subscriptions.

02 · what we did

Our work

  • 01
Map before automatingThe reflex would be to plug in a tool. We modelled the three pricing logics first, to understand what could genuinely be calculated automatically — and what had to stay human.
  • 02
Quotes that generate themselvesThe three pricing models encoded into the system, volume discounts included. An incoming request now produces a priced quote with no manual step.
  • 03
The site wired into operationsWebsite migrated into the management ecosystem, with distinct entry points per segment, mega-menu and dedicated catalogue. Redirects and metadata handled: the migration cost no search traffic.
  • 04
One interface instead of severalProject management brought in-house, task assignment and alerts in the same tool. Every external subscription removed is a monthly saving and one less source of error.

Practices involved

Automation and development. This is our reference project on process optimisation: the value didn't come from the tool chosen but from the modelling that preceded its configuration.
